There are 8 project stages detailed below (the stage “Pre-Idea undefined” is not reflected in HubSpot). Before moving a project from one stage to the next, all requirements defined for the current stage of the project must be met. The requirements are detailed below within each stage:

1. Pre-Idea undefined
   • [ ] The idea has been shared with the Impact Officer, and, at the expert’s discretion, they approve its registration in HubSpot.
2. Idea undefined
   • [ ] A clear project leader has been established at least until the stage "Already approved by impact & curatorship."
   • [ ] The pre-incubation form has been submitted.
3. Pre-incubation form already submitted
   • [ ] The project charter has been drafted.
   • [ ] The project has been presented to the curatorship and the impact office, and they have approved it.
4. Already approved by impact & curatorship

   • [ ] The internal kick-off meeting with the project participants has been held.

   • [ ] A clear project leader has been established at least until the stage "MVPs already completed."

   • [ ] The project page has been created in Notion.

   • [ ] The project meets the minimum number of participants (3-5).

   • [ ] The project has been registered in TopLink.

   • [ ] The MVP* of the project has been completed.

     By MVP, we refer to any project test done prior to its final version. This includes MVPs, pilots, workshops, or any other action taken before the final project definition.

   • [ ] At least 1 company and 1 contact associated with the project (providing financial or in-kind resources).

5. MVPs already completed
   • [ ] The real KPI data from the MVP have been collected in Notion.
   • [ ] Evidence of the recorded impact (KPIs) has been collected in Notion.
   • [ ] A clear leader and team have been established for the project at least until the stage "Final project completed."
6. Final project already started
   • [ ] The scope and KPIs of the final project have been established and are reflected in Notion.
   • [ ] The milestones for the final project have been designed and are reflected in Notion.
   • [ ] The necessary financial resources for the execution of the final project have been obtained.
   • [ ] The necessary in-kind resources for the execution of the final project have been obtained.
   • [ ] The necessary partners for the execution of the final project have been obtained.
   • [ ] All milestones for the final project have been completed.
   • [ ] Evidence of the recorded impact has been collected in Notion.
7. Final project completed
   • [ ] Evidence of the recorded impact (final project) has been collected in Notion.
   • [ ] We have reviewed the project tags and they are correct (1. Impact area, 2. Type of intervention, 3. Associated SDG, 4. Medium and long-term results).
   • [ ] The team has held a project closing event!
8. Project dropped
   • [ ] The reason for the project being dropped has been documented, which may include:
     • [ ] Team inactive for a prolonged period of time.
     • [ ] Planning paused, not done, or not executed with no dates for resumption.
     • [ ] No committed leader to ensure the project's successful execution.
